Who we are
The Growth Rooms is an online training platform for coaches, operated by GroAI Ltd, a company registered in England and Wales (company number 15465553) ("GroAI", "we", "us"). We are the data controller for the personal information described in this policy, and we are registered with the Information Commissioner's Office under number ZC170165. What we collect
- Account details. Your first and last name, email address, mobile number and a password. We use your mobile only to add you to the members' group chat; only the team can see it. Passwords are stored hashed; we never see them. We also record when you accepted these terms, and which version.
- Profile details. A profile photo and a one-line bio. Other members can see both.
- Early access. That you registered for early access and when. If you used our earlier early access form, the name, email and answers about your coaching that you gave on it.
- Subscription records. What you subscribed to, when, what you paid and each renewal. Card details go directly to Stripe, our payment processor. We never see or store your card number.
- What you post. Your community posts, comments, likes and anything you upload, along with your points and leaderboard position. Other members can see these.
- Invites and commission. If you share your invite link, we record clicks on it and which members joined through it, so commission can be calculated and paid.
- Presence. When you were last active, so the community can show who is online.
- Learning activity. Which lessons you have opened and marked complete, so your progress works.
- Messages. Anything you send us by email or through the platform.
- Coaching enquiries. If you fill in a coach's enquiry form on their page, we collect your name, email, phone and the answers you give, and pass them to that coach so they can reply. The coach decides how they then use your details.
How we use it
- To provide the platform: your account, your rooms and your progress (performance of a contract).
- To tell you when Room One opens and how to join, because you registered for early access and asked us to (steps you asked us to take before entering a contract).
- To email you posts that the community's admins choose to send to all members. Every one of these has a link to stop them (legitimate interests).
- To take payment and keep the records tax law requires us to keep (legal obligation).
- To keep the platform secure and to fix problems (legitimate interests).
- To reply when you contact us (legitimate interests).
We do not sell your data. We do not run advertising trackers on the platform.
Who we share it with
We use a small number of service providers to run the platform. They process data on our instructions only:
- Supabase — database, login accounts, and storage for lesson videos and the files and photos members upload
- Stripe — payment processing
- Vercel — website hosting
- Resend — sending our emails
Two more only come into play when you use the feature:
- GIPHY — GIF search. What you type in the GIF search goes to GIPHY through our server, not from your browser. GIFs you see are loaded from GIPHY, which means GIPHY receives your IP address, as any website you load an image from does.
- YouTube, Vimeo and Loom — when a member shares a video from one of these in a post or comment, it plays from that service, which receives your IP address and applies its own privacy policy. YouTube videos use its privacy-enhanced mode.
Some of these providers store data outside the UK. Where they do, transfers are protected by UK-approved safeguards such as the UK International Data Transfer Agreement or an adequacy decision.
Sending you email
We use Resend to send our email: your sign-up code, password resets, notices about your subscription, the email telling you Room One is open, and posts an admin sends to all members. Resend processes your email address on our instructions so the message can be delivered.
Account and subscription emails are part of having an account. Posts sent to all members are not: every one has a link to stop them, and that works without logging in.
How long we keep it
We keep your account data while your account exists. If you ask us to delete your account, we delete it, except purchase records, which we keep for six years because tax law requires it.
Your rights
Under UK data protection law you can ask us for a copy of your data, ask us to correct it, delete it, restrict how we use it, object to our use of it, or ask for it in a portable format. Email team@groai.co.uk and we will respond within one month. You can also complain to the Information Commissioner's Office at ico.org.uk.
Cookies
There are no analytics or advertising cookies on this site, and we do not sell or share your data with advertisers. We use two kinds of cookie:
- Session cookies. These keep you logged in. The platform cannot work without them.
- Password reset cookie. A short-lived cookie set only during a password reset, so a reset code you have entered can finish the reset. It clears within 30 minutes.
- Preview progress cookie. On our public preview pages, a cookie remembers which preview lessons you ticked off. It holds only lesson identifiers, no personal information.
- Referral cookie. If you arrive through a member's invite link, we store that member's code for up to 90 days so their commission can be credited if you join. It holds only the code, no personal information about you, and it is never used for advertising or shared with anyone else.
Age
The Growth Rooms is for adults building a coaching business. You must be 18 or over to create an account.
Changes
If we change this policy we will update this page and the date at the top. If a change is significant we will email you.
